Job Title Bookkeeper
Description 09/03/2013 United Talent is currently seeking a PT bookkeeper in the Morgantown area. This position is a temp to perm position that will start as part-time but could very likely go to full-time hours. This position will run 3-4 days a week working 9am-1 or 2 pm to start out. Pay for this position will be based on experience. Duties to include but not limited to: assisting with budget preparations, making bank deposits, maintaining ledgers, reconciling credit card statements, paying bills, prepare financial statements and reports, cash handling, reconciling bank accounts, setting up cash box for events, collecting funds, assuring expenditures are in accordance with code balances for item acquisition, keeping the Executive Director informed as to the balances of internal accounts, and preparing payroll. The bookkeeper may be asked to share administrative duties as well as working with the financial aspects of the business which may include: 1. Provide administrative and clerical support to the Executive Director and the Development Director 2. Provide support for activities of the Board of Directors by coordinating meeting schedules, assembling board mailings, and meeting packets, and maintaining records 3. Arrange for various meetings, including committee meetings, by coordinating scheduling, issuing meeting notices, handling reminders, assembling meeting packets, and arranging all other meeting logistics 4. Maintain Board of Directors address and affiliation records, edit and update information as requested, prepare reports, and perform related tasks as needed 5. Purchase, maintain and monitor office supplies, including printed materials. Monitor and maintain office equipment including copiers, fax, postage meter, and printers. Keep office supply area clean and organized 6. Organize and maintain filing systems as determined by and in coordination with the Executive Director. Coordinate movement of files to storage as needed 7. Prepare outgoing correspondence Compose basic and/or routine correspondence Coordinate preparation of group mailings Donations Processing and Development Support 1. Responsible for processing and record keeping of monetary contributions: prepare acknowledgement letters, maintain donor and prospect mailing list; edit and update database as needed; generate reports as requested 2. Responsible for recording all accounts receivable and accounts payable into accounting software. 3. Responsible for generating all financial reports needed as requested by the Executive Director. 4. Responsible for all Cash Handling detail. Responsible for reconciling of income on a daily basis with backup from a second designated employee. 5. Responsible for preparing all bank deposits. 6. Maintain in-kind donor records and generate acknowledgement letters 7. Assist with donor recognition materials and records as needed 8. Assist with preparation of special thank you letters for contributions and other related development correspondence 9. Maintain Executive Director’s calendar and schedule speaking engagements and travel arrangements. Our ideal candidate will be an experienced bookkeeper, be alright with fulfilling other clerical duties as assigned, be able to start right away, and be able to pass a pre-employment background check.
